Privacy

A clear account of your email.

If you join the Culturemotif waiting list, you trust us with one piece of personal information: your email address. This notice explains where it goes, why we use it, and the choices you keep.

Who is responsible

Culturemotif is the data controller for the personal information described here. We decide why the waiting list exists and how its information is used.

What we collect

The waiting-list form asks only for your email address. We do not ask for your name, employer, location or any sensitive personal information.

Our service providers also process the date and status of your subscription and operational information connected with email delivery, such as confirmation, delivery, bounce and unsubscribe events. If campaign tracking is enabled, this may include whether an email was opened or a link was clicked.

Cloudflare processes ordinary technical request information, such as IP address and browser details, to deliver and protect the site. We do not use that information to build a marketing profile about you.

What happens when you join

  1. Your browser sends the address to our secure, same-site waiting-list endpoint. The form includes a hidden bot check.

  2. We check that the address has a valid email format, then pass it to EmailOctopus. Culturemotif does not write it to a separate database.

  3. EmailOctopus adds the address to our contact list. If double opt-in is enabled, it first marks the address as pending and sends a confirmation email. You become subscribed only after confirming.

  4. We use EmailOctopus to send the updates you requested and to honour confirmations, delivery failures and unsubscribes.

Why we use it

We use your address to tell you when the Cultural Intelligence Suite opens and to send occasional, closely related Culturemotif and product updates. We will not add unrelated purposes without asking you first.

Our legal basis is your consent under Article 6(1)(a) of the EU General Data Protection Regulation. Joining is voluntary. If you do not provide an address, nothing else changes, but we cannot place you on the list.

We process limited hosting and security information because we have a legitimate interest in keeping the site reliable and preventing abuse under Article 6(1)(f).

Who handles the information

Cloudflare hosts and protects Culturemotif and carries the form request. EmailOctopus, operated by Three Hearts Digital Ltd, stores our contact list and provides confirmation, campaign and unsubscribe services on our instructions.

EmailOctopus uses hosting and email-delivery providers, including Amazon Web Services and specialist delivery services, when it provides those functions. These providers act for the limited purpose of operating the service. We may also disclose information where the law requires it.

Where it is processed

EmailOctopus states that contact lists are stored on Amazon Web Services servers in Ireland, within the European Economic Area. EmailOctopus is based in the United Kingdom, which currently has an adequacy decision from the European Commission.

Cloudflare operates a global network, and EmailOctopus or its providers may process limited information outside the European Economic Area. Where a transfer requires safeguards, the providers rely on recognised mechanisms such as adequacy decisions, the EU-US Data Privacy Framework or the European Commission's Standard Contractual Clauses. Contact us if you would like information about the safeguards relevant to your data.

How long we keep it

We keep a subscribed address while the waiting list and the related updates remain relevant, or until you withdraw consent, ask us to delete it, or we close the list. We periodically review the list and remove information we no longer need.

If you unsubscribe, EmailOctopus keeps the address in an unsubscribed state so we do not contact or accidentally resubscribe it. You may ask us to erase it instead. We may keep only the limited record needed to honour your objection or meet a legal obligation. Provider backup copies may remain for a limited period before deletion cycles complete.

Your choices and rights

You can unsubscribe through the link in any email. You can also withdraw consent or ask us to access, correct, erase, restrict or provide a portable copy of your personal information. You may object to direct marketing at any time. Withdrawal does not change whether earlier processing was lawful.

Send a request by email: privacy@culturemotif.com. We may need to confirm that the address is yours before acting on a request.

You also have the right to complain to the data protection authority where you live, work or believe an infringement took place. The European Data Protection Board publishes a directory of supervisory authorities.

Cookies and automated decisions

The waiting-list form does not install an EmailOctopus script or marketing cookie in your browser. Culturemotif does not use your email for automated decision-making or profiling that produces legal or similarly significant effects.

If this notice changes

We will update this page when the way we use email addresses changes. If a change introduces a new purpose that requires consent, we will ask before using your address for it.
